SmartSmash is a digital club management platform designed to help badminton clubs manage players, coaching, attendance, club nights, tournaments, communication, subscriptions and administration.

How SmartSmash works with clubs
SmartSmash provides software for badminton clubs. In most cases, the club administrator controls and manages the player, parent, coach and member information inside their own club account.
Club data is separated
Each club has its own secure club area. Other clubs cannot view, access, edit or manage another club's players, members, parents, coaches, attendance records, skill records, finance information or club administration details.
Information we may collect
Depending on your role, SmartSmash may collect:
- Name, email address, phone number and login details.
- Club name, user role, permissions and account status.
- Player profile information managed by the club admin.
- Parent or guardian contact details where junior players are involved.
- Attendance records, match participation, coaching records and skill development records.
- Subscription, billing and payment status information.
- Support messages, feedback and technical logs.
- Device, browser, IP address and usage information needed to keep the service secure and reliable.
Junior player information
SmartSmash may contain junior player profiles where a club uses the platform to manage coaching, attendance, development or parent communication.
Junior player information is managed by the relevant club admin and authorised club users. SmartSmash aims to keep this information limited, relevant, protected and available only to users with the correct club permissions.
Why we use personal information
We use personal information to:
- Provide SmartSmash accounts and club management features.
- Allow club admins to manage members, players, coaches, parents and club operations.
- Support attendance, coaching, player development, club nights, tournaments and reporting.
- Maintain secure login, permissions and role-based access.
- Process subscriptions, billing and service communications.
- Respond to support requests and feedback.
- Improve the reliability, safety and performance of the platform.
- Comply with legal, accounting, security and regulatory requirements.
Player profiles and club control
Player profiles are fully managed by the relevant club admin or authorised users within that club.
SmartSmash does not allow one club to browse or access another club's player database. Club information is kept separate by club account and access permissions.
A parent, player, coach or club user should contact their own club admin if they want to update or correct player profile information.
Future inter-club features
SmartSmash may introduce future features that allow clubs to arrange matches, tournaments, leagues or events with other clubs.
If these features are introduced, only limited information needed for that purpose may be shared between participating clubs. This may include details such as player name, team, age group, category, match availability or competition information.
Consent and admin control
Inter-club sharing will only be enabled where the relevant club admin has chosen to participate and has selected or agreed what information may be shared.
SmartSmash will not automatically open full club records or full player profiles to other clubs.
Who can access information
Access depends on user role and club permissions.
- Club Admins may manage club users, players, attendance, profiles, reports and settings.
- Coaches may access player development, attendance and coaching information where permitted.
- Parents or guardians may access linked junior player information where enabled by the club.
- Players may access their own profile or club features where enabled.
- SmartSmash support may have limited access where needed for support, security, billing or platform administration.
Sharing information
We do not sell personal data.
We may share limited information with trusted service providers who help us operate SmartSmash, such as hosting, email delivery, payment processing, analytics, security or support systems.
Payments and billing
If payment services are used, billing and payment information may be processed by a third-party payment provider. SmartSmash may store subscription status, plan, payment status, billing email and related account information, but we do not aim to store full card or bank details directly inside SmartSmash.
Data security
We use reasonable technical and organisational measures to protect information, including:
- Login authentication.
- Role-based permissions.
- Club-level access separation.
- Secure server hosting.
- Encrypted connections where available.
- Audit and support controls where appropriate.
- Regular review of access and security practices.
No online service can guarantee complete security, but we work to protect data and reduce unauthorised access risks.
Data retention
We keep information only for as long as needed to provide the service, support clubs, meet legal or accounting duties, resolve disputes and maintain security.
Club admins may request deletion or export of club data, subject to legal, technical and backup retention requirements.
Your rights
Depending on the situation, you may have rights to:
- Access your personal data.
- Correct inaccurate data.
- Request deletion.
- Restrict processing.
- Object to certain processing.
- Request a copy of your data.
- Withdraw consent where consent is the basis for processing.
If your information is managed by your club, we may direct your request to the relevant club admin.
