Terms and Conditions

These terms apply to the use of the SmartSmash website, mobile app and club management platform.

About SmartSmash

SmartSmash is a club management platform for badminton clubs. It helps clubs manage players, parents, coaches, attendance, coaching development, club nights, tournaments, communication, subscriptions, reporting and administration.

Club account responsibility

Each club is responsible for managing its own club account, users, player profiles, permissions and club data.

Club admins must ensure that the information entered into SmartSmash is accurate, appropriate and lawfully managed.

SmartSmash provides the platform, but the club admin remains responsible for day-to-day management of club records and user access.

Club data separation

Other clubs cannot access your club records

One club cannot view, manage or access another club's player profiles, member details, parent details, coaching records, finance information or internal club administration data.

SmartSmash uses role-based permissions and club-level access controls to support this separation.

User roles and access

SmartSmash may include roles such as:

  • Super Admin
  • Club Admin
  • Coach
  • Parent or Guardian
  • Player
  • Tournament Organiser
  • Finance or committee user

Available features depend on the club's subscription, enabled modules and permissions granted by the club admin.

Player profiles

Player profiles are created and managed by the relevant club admin or authorised club users.

SmartSmash is not responsible for checking the accuracy of every player profile entered by a club. Players or parents should contact their club admin if profile information needs to be corrected.

Junior players

Where clubs use SmartSmash for junior players, the club is responsible for ensuring that parent or guardian access, safeguarding practices and communication rules are managed properly.

SmartSmash provides tools to help manage junior information, but clubs must apply their own safeguarding and data protection responsibilities.

Future inter-club features

SmartSmash may introduce features that allow clubs to arrange matches, tournaments, leagues, events or shared competitions with other clubs.

If these features are introduced, only limited information needed for the inter-club activity may be shared.

  • Player name.
  • Team or squad category.
  • Age group or playing category.
  • Match or tournament participation.
  • Availability or result information.

Admin consent required

Full club records and full player profiles will not be automatically shared with other clubs.

Inter-club sharing will only happen where the relevant club admin has chosen to enable the feature and has agreed what information may be shared.

Subscription and pricing

SmartSmash aims to keep pricing fair, transparent and accessible for clubs.

Subscription prices will be shown clearly before a club chooses a plan.

Monthly price increase cap

If standard monthly subscription prices need to increase in the future, SmartSmash will notify affected clubs in advance.

Unless a club separately agrees to an upgrade, custom package or additional paid service, any standard monthly price increase will be capped at no more than £5 per month in any annual review period.

Trial period

SmartSmash may offer a free or discounted trial period. At the end of the trial, the club may need to choose a paid plan to continue using premium features.

If a club does not continue after the trial, access may be restricted, suspended or downgraded depending on the plan rules.

Payments

Payments may be collected monthly, annually or through another agreed billing method.

If payment fails or remains overdue, SmartSmash may restrict access to paid features until payment is completed.

Cancellations

A club may cancel its subscription by contacting SmartSmash or using any cancellation method made available in the platform.

Cancellation does not automatically delete club data immediately. Clubs may request data deletion or export, subject to technical, legal, accounting and backup requirements.

Acceptable use

Users must not:

  • Attempt to access another club’s data.
  • Share login details with unauthorised people.
  • Upload unlawful, harmful, abusive or inappropriate content.
  • Misuse player, parent or junior information.
  • Attempt to disrupt or damage the platform.
  • Reverse engineer, copy or resell SmartSmash without permission.
  • Use SmartSmash for unlawful purposes.

Availability

We aim to keep SmartSmash reliable and available, but we cannot guarantee that the service will always be uninterrupted or error-free.

Maintenance, updates, hosting issues, security events or external service problems may affect availability.

Changes to features

SmartSmash may improve, update, add, remove or change features over time.

Where a major change affects paid club access, we will aim to provide reasonable notice.

Limitation of liability

SmartSmash is provided as a club management tool. Clubs remain responsible for their own decisions, safeguarding procedures, coaching decisions, financial decisions and member management.

To the fullest extent allowed by law, SmartSmash is not responsible for indirect losses, loss of profits, loss of opportunity or losses caused by incorrect information entered by club users.
